“Can I get a haircut after work tomorrow?”
It is a straightforward message until someone replies with a time, another client books that slot, and the first client arrives expecting an appointment. The problem is not the conversation. It is the missing step between discussing availability and reserving it.
To take salon bookings on WhatsApp reliably, collect the service and preferred time, check the diary, agree an available option, record the appointment, and then send its confirmed details. Keep one appointment record as the source of truth, even when the conversation happens somewhere else.
The steps below explain how to manage this manually with reception. With GoRoots, you can automate the WhatsApp booking journey instead, from a client’s service request through availability, appointment confirmation, and reminders. See how GoRoots automates salon bookings below.
The replies in this guide are illustrative writing templates for a manual workflow, not built-in software variables. Replace the bracketed details and check your actual setup before sending them.
Choose how the conversation becomes a booking
You do not need to make every enquiry follow the same path. Choose one of these approaches and make the next step clear to the client.
| Approach | What the client does | What your team must check |
|---|---|---|
| Reception books from the chat | Agrees the service and an offered time | A staff member checks availability and saves the appointment before confirming. |
| Reception sends a booking link | Selects the service and time on your booking page | The client finishes that booking flow; sending the link is not a reservation. |
| GoRoots automates the booking flow | Describes the service and preferred time, then confirms an available option | Configure services and staff availability; let the booking agent handle the journey and keep staff available for exceptions. |
Avoid running two booking paths for the same enquiry without checking the result. If the client books through a link, reception should inspect that appointment before creating another one manually.
Set up the basics before sharing your WhatsApp number
Use a business contact the team is authorized to manage, and decide who owns unanswered enquiries during each shift. Keep the salon name, location, hours, and website current in the business profile.
The official WhatsApp Business app feature guide describes business profiles, greeting and away messages, quick replies, conversation labels, and short links or QR codes. Check the tools available in your account before building your process around them.
Use an away message to set expectations, not to imply someone has a booking. For example:
Thanks for contacting [salon name]. Our reception team replies during [actual staffed hours]. Please tell us the service you need and your preferred date. This message does not confirm an appointment. You can also view available appointments at [verified booking link].
Test the contact link or QR code on a phone before adding it to Instagram, your website, or printed materials. Does it open the correct salon conversation? Does the business profile identify the right location?
Ask for the details that affect the appointment
Start with the service, location if relevant, preferred date or time range, and any stylist preference. Ask a follow-up question when the service itself is unclear rather than trying to guess the required time.
When the client asks for “my usual”
Hi [first name], happy to help. Which service would you like this time, and is there a stylist you would prefer? If you mean the same appointment as your last visit, we will check the record before offering a time.
When the client asks for “color”
Are you looking to maintain your existing color or make a change? If you are unsure which service to choose, we can help arrange the right conversation with the team before booking treatment time.
These questions help reception route the request; they are not a substitute for a stylist’s assessment. For clearer service choices, see our guide to writing a salon service menu.
Answer price questions without guessing
A price enquiry is not necessarily a booking request. Answer the question using your approved menu, explain relevant inclusions, and offer the next step without pressing the client to commit.
Our [service] is [actual price or clearly explained starting price] and includes [inclusions]. [Relevant extra] is separate. You can see the service details at [menu link]. Would you like us to check availability?
If the team must assess the service before giving a price, say so. Do not copy a starting price into a confirmation as though it were a final quote. Any conditions or payment requirements should be explained before the booking is agreed.
Offer availability, but do not call it confirmed yet
Check the current diary and the selected stylist’s availability before offering a slot. Your wording should reflect whether the time is merely available, temporarily held by an actual supported process, or already reserved.
We currently have [date, time, stylist, and location] available for [service]. Would that work for you? We will confirm once the appointment is recorded. The time is not held while we wait for a reply.
Use the last sentence only if that is your real policy. If your system supports a temporary hold, explain its actual conditions rather than inventing one in the message.
When the client replies, check the diary again. A time that was available when the message was sent may no longer be free. A reply such as “yes please” is an instruction to complete your booking process, not proof that it has already happened.
Send a booking link when it saves another round of messages
If the service is clear and the client can choose from your online availability, send a direct, tested booking link with a sentence explaining what to select.
You can choose an available [service] appointment here: [booking link]. Select [relevant location or stylist option] and complete the booking steps. If the service is not clear, reply here and we will help before you book. Sending this link has not reserved a time.
Do not make the client repeat information unnecessarily, but do not imply that a plain web link carries their previous answers into the booking page unless you have tested that behavior.
After a client says they have booked, look for the appointment in the diary. Do not create a second booking simply because you cannot see it in the current chat. Ask for the reference or details and investigate first.
Confirm only after the diary is correct
Keep the difference between these stages explicit:
- Enquiry: the client is asking about a service or price.
- Awaiting agreement: a suitable option has been offered, but the booking is not complete.
- Confirmed: the required booking steps are complete and the appointment is recorded correctly.
These are suggested operating labels, not automatic WhatsApp or GoRoots statuses. If you label chats, treat the label as a reminder of the work still needed, not as evidence that a slot exists in the calendar.
After checking the saved appointment, send:
Your [service] with [stylist] is confirmed for [date] at [time] at [salon name and location]. [Accurate price or agreed pricing arrangement]. To request a change, contact [salon contact]. [Link to the booking details or relevant policy, if available].
Compare the message with the actual appointment before sending it. Keep broader message examples in our salon appointment reminder templates rather than creating another competing set of confirmation rules.
Treat changes as diary work, not just chat replies
If someone asks to move an appointment, check the existing booking and the alternative before saying it has changed. Then verify that pending reminders will use the updated details. Do not promise that an integration cancels old reminders unless you have tested it.
For a cancellation, update the appointment record and route any payment question to the responsible person. Do not leave a cancelled appointment active because the conversation already feels finished.
At a shift handover, review unanswered enquiries, offered times awaiting replies, and requested changes that are not yet reflected in the diary. Give each unresolved item an owner.
Do not mix appointment help with promotional permission
Keep a booking conversation focused on the client’s request. Do not treat a client’s enquiry as a reason to add them to every future promotion. Respect their communication preferences and requests to stop messaging.
WhatsApp’s Business Messaging Policy describes permissions and opt-outs, and additional template and customer-service-window rules for the Business Platform. Those platform rules should not be confused with a manual quick reply in the Business app. Review the requirements for the product you actually use; this guide is not a compliance determination.
Use your payment provider’s approved flow where payment is required. Do not ask clients to send full card details in a chat.
Download the reception checklist
Download the Excel WhatsApp salon booking checklist (.xlsx). It includes status dropdowns, owner and next-action fields, and completion counts for shift-start checks, enquiry-to-confirmation steps, changes, and handovers. The link opens in a new tab; your browser may download the workbook for Excel rather than display it. No email address is required. It is a reusable team worksheet, not a list of automatic product features.
Try it with one test enquiry before promoting your booking channel. Include an unclear service, a time that becomes unavailable, and a client who completes the web booking after receiving a link. Check that you finish with one correct appointment, not two.
Automate WhatsApp booking with GoRoots
Your team does not have to repeat every step above for each enquiry. GoRoots can automate the end-to-end WhatsApp booking process, connecting the conversation to your salon’s services, staff availability, appointment calendar, and reminders.
With your salon’s booking setup in place, the flow can handle:
- The service request: clients describe what they want and include a preferred time or stylist.
- Available appointments: GoRoots uses your service and availability information to offer suitable options.
- Booking and confirmation: the client confirms the details, and the appointment becomes visible to your team without reception having to copy the conversation into a separate diary.
- Appointment reminders: WhatsApp reminder workflows keep the follow-up connected to the booking.
That leaves reception free to focus on questions that need a person, such as a service assessment or an unusual request. Set up your service menu, staff availability, and booking rules first, then test a complete client journey before sharing the channel widely.
Explore GoRoots WhatsApp booking, AI booking agent, and salon management features to see how the workflow fits together. The reception checklist above can also be used to verify your automated setup, rather than as a list of tasks staff must perform for every booking.
